HEALTHCARE · CASSINI LABS CASE STUDY
Willow Care Network
A physician-referral network for outpatient rehabilitation, built around records readiness and privacy boundaries.
Business problem
Referral-based outpatient care breaks down at the handoff: a referral order arrives, but scheduling can't safely happen until records and insurance are verified, and referring physicians rarely hear back once a patient starts treatment. Treating intake as one undifferentiated step hides which patients are stuck waiting on paperwork versus ready to schedule.
Users & stakeholders
- Referring physicians and their office staff
- Meridian intake coordinators verifying records and insurance
- Clinicians across six clinic locations
- Patients waiting to be scheduled
Proposed system
CASSINI modeled referral intake as a staged pipeline (Received, Records Requested, Records Complete, Scheduled) so intake coordinators can see exactly which patients are blocked on a specific missing item, and built a separate records-readiness checklist so "what's still needed" is never buried inside a case note.
Public-facing experience
The public site sets expectations up front — records and insurance are verified before the patient is contacted about scheduling — so patients aren't left wondering why there's a delay between referral and first appointment.

Referral intake is a kanban because a referral genuinely moves through sequential stages before it can be scheduled. Records readiness is a checklist because each outstanding item has a binary answer: requested or received. Scheduling is a table because staff need to scan clinic, clinician, and appointment time across many patients at once — a kanban would fragment that into unreadable columns.

Patients are represented by initials and a patient code, never a full identity record, in every admin surface — reflecting the same access-control boundary a real system would enforce, not just a styling choice.

Demo disclosure: Willow Care Network is a fictional organization created by CASSINI to demonstrate an end-to-end system build for the healthcare industry. It is not a real client, and no real people, records, or performance metrics are represented here.
